How To Share Content Changes for Review: The Recommended Content Change Management Process

Edit And Review Content On Production

All content changes should be made in the Production Environment. You can edit, share and preview changes in Author before you publish the content. Changes made in Author will not be visible on the live site until they have gone through the publish workflow.

  1. Receive and track requests through your internal request process.
  2. Make the requested updates in the Production Environment. All content changes should be made in the Production Environment.

  3. Review the changes for accessibility & quality assurance.

  4. Share the Production Author preview link.
    If the reviewer does not have access to the preview links in Production Author then you will need to use screenshots and/or screenshare to review the changes. Contact DoIT for information on granting access rights to reviewers. 
  5. Receive approval through your internal approval process.
  6. Publish the changes using the appropriate workflow.

  7. Review the changes on the live site.

Using the Stage Environment

All content changes should be made directly in the Production Environment.

The Staging Environment should only be used to test large scale changes and new functionality before moving those changes to the Production Environment. It is possible that the Staging Environment will not always be in sync with the Production Environment and may not provide a secured way to share or review content changes. Creating content changes in the Staging Environment also causes rework, because those changes will need to be re-made in Production.
