Publishing a page

Once you are done building or updating a page, you might want to publish it to the general public. You can do so in different ways depending on your role.

In-Page Publication for Authors

You can publish a page from the page editing view. Click on the page information icon and select "Start Workflow".

It's important to ALWAYS use the "SOI Request for Activation" workflow when publishing a page. While it may be tempting to simply click on the "Publish Page" button (if available), there's a very good reason why you shouldn't. The workflow creates a roll-back version of your page that can be used in case you make a mistake or damage the page beyond repair in the future. Having that roll-back version generated by the workflow can be a lifesaver in such cases.

From the "Start Workflow" option, choose "SOI Request for Activation Workflow" as the workflow model.

Click "Start Workflow"

After the publish request is sent, a blue bar will appear at the top of the page. Once the changes have been approved by a content owner, this bar will disappear.  If you are given publish rights, your changes should appear immediately.  If not, you may need to refresh your browser and/or empty you browser's cache.

While the work is already pending approval, any additional changes will update the request automatically, so there is no need to send another publish request afterward.

Your page will be published and you should receive an email from "NoReply@day.com" with the subject "Workflow Notification - Workflow Completed" confirming the page has been published successfully. If the subject says "Workflow Notification - Workflow Aborted" then the SiteImprove check failed.  The page will still be published, just not checked against the SiteImprove module. You will also receive an email from "DoNotReply@Illinois.gov" with the subject of "SiteImprove Report - [project]" which contains a summary of the issues detected.  Be sure to review the accessibility issues found. 

Scheduled or Bulk Publication for Authors

As an author, the process to publish one or more pages now or at a later time is very similar to that for an administrator. Start by hard selecting one or more pages and clicking on "Manage Publication".

Since we are publishing, leave "Unpublish" unselected.

If you want to publish a page and its child pages, hard select the page and click on "Include Children".

For authors, there is one additional step to kick off the SiteImprove workflow. And once you enter a title for the workflow (optional) and click on "Request for Publication", the page is published and you should receive an email from "NoReply@day.com" with the subject "Workflow Notification - Workflow Completed" confirming the page has been published successfully. If the subject says "Workflow Notification - Workflow Aborted" then the SiteImprove check failed.  The page will still be published, just not checked against the SiteImprove module. You will also receive an email from "DoNotReply@Illinois.gov" with the subject of "SiteImprove Report - [project]" which contains a summary of the issues detected.  Be sure to review the accessibility issues found. 

Bulk or Scheduled Publication for Administrators

If you want to schedule a page to publish at a later time, hard select the page and click on "Manage Publication".

If you want to publish a page and its child pages, hard select the page and click on "Include Children".

In-Page Publication for Administrators

If you are editing a page and ready to publish it along with the SiteImprove workflow checking for any accessibility issues, you can click on the page information icon and select "Start Workflow".

Note that in the dropdown menu, you can directly publish a page, which bypasses the SiteImprove accessibility check.
