Update an Asset

There will be a time when a PDF, image or other type of asset needs to be updated within AEM, so the correct information is getting presented on your site. Knowing how to replace an existing asset with the updated version is important and will save you time. Benefits to updating an exisiting asset include:

  • Referenced/linked asset will reflect the updated version throughout the site
  • Have the option to compare old and new version
  • Access different version(s) within AEM instead of checking the agency's file archive location

Note: The NEW version of the asset must have the exact same filename as the old version.

Locate Existing Asset

Navigate through the following path, by soft-clicking on each item to locate the folders where the assets for your site are stored. Then within the folders for your site, locate and open the folder where the asset you plan to update is stored.

Path: State of Illinois (soi) > English (en) > Web (web) > [Your Agency]

Uploading the New Version of the Asset

Similar to uploading an original asset, there are two ways to upload the updated version of an exisiting asset.

Leave AEM open to the location you want to put the file(s), and open the File Explorer on your device. 

Locate the file(s) you want to upload within the File Explorer. Select or highlight all the files to be uploaded to the destination you chose in AEM.

Left-click on the highlighted files. Without releasing the button, drag the files over to the AEM asset location page.

After the {Drag and Drop} pop-up appears release the button on your mouse, and the files will start to upload.

Once you have selected the folder the asset will be stored within click the "Create" button in the upper right-hand corner of the screen, and select "Files" from the drop-down menu.

A file explorer window will open. Locate the file you want to upload, and click on it. Then click open at the bottom of the window.

A pop-up window will open, and you can change the name of the file, if needed, before it is uploaded to the platform.

Once the file has uploaded you will see a pop-up for a "Name Conflict" that gives you the option to: Cancel, Keep Both, Replace, or Create Version. Click on "Create Version" to update the existing asset. If you were uploading more than one asset update you will checkmark the option to "Apply to all" as well, so each asset is updated.

You will see within the "Modified" column an exclamation point in a triangle icon that denotes the asset has been changed in some way since it was last published. You will also be able to see that a new version has been added to the Timeline for that asset in the left-hand side panel, if you open it. The icon in the Modified column is a great indicator that an asset has been updated, but the changes are not visible to the public until it is published.
