Upload an Asset
Properly managing assets for your site is integral to the usability of AEM for both authors and end-users. Assets are stored in a separate section of AEM called the Digital Asset Manager (DAM).
Navigate Through Assets
When you log into AEM, you will see the main screen displaying a number of features you can use to manage your website. To upload an asset, select "Assets".
Within the second layer of navigation select "Files".
Choose Where the Asset Will be Stored
Navigate through the following path, by soft-clicking on each item to locate the folders where the assets for your site will be stored.
Path: State of Illinois (soi) > English (en) > Web (web) > [Your Agency]
Determine the appropriate type of folder for your needs based on the asset(s) you are going to upload. Learn more about each standardized folder's purpose. Then soft-select the folder you decide would be most appropriate for your asset to be stored within.
Uploading the Asset
Two methods can be used to upload an asset to AEM. The first method is 'Drag and Drop,' and the second is to use the "Create" button, very similar to the way a folder is created. Both methods have their own benefits, so you can decide which method best suites your needs for the task you are completing.
When to Use Drag & Drop
- Uploading multiple files at once
- All the files are properly named (according to specified naming conventions)
- Used to interacting with multiple windows open.
When to Use Create Button
- Uploading one file at a time
- Want to populate all the metadata/properties of the file at the time of the upload
- Prefer to stay on AEM without switching across multiple windows.
- More intuitive step-by-step process.

Leave AEM open to the location you want to put the file(s), and open the File Explorer on your device.
Locate the file(s) you want to upload within the File Explorer. Select or highlight all the files to be uploaded to the destination you chose in AEM.
Left-click on the highlighted files. Without releasing the button, drag the files over to the AEM asset location page.
After the {Drag and Drop} pop-up appears release the button on your mouse, and the files will start to upload.
Images & Videos
When uploading assets to the DAM, there are a few considerations to keep in mind:
- Filename: Follow the Naming Convention Guide when uploading assets.
- *Captions: Caption files MUST be created for ALL videos, and should NOT be burned into the video file. Rather, these should be included as a separate .vtt file. The WCM Team may be able to assist with their creation, if needed.
- *Upload Resolution: There is no need to upload a 4K video file, as a 1080p or 720p version will likely be sufficient for most user needs.
- *Maximum File Size: There is a maximum file size of 2GB for ALL Asset files.
- Processing: The larger the individual file uploaded, the longer AEM will take to process and encode the video file for use, so expect longer wait times before the file may be used in these scenarios.
- Dynamic Media Limitations: There are a few limitations to how Dynamic Media functions and a few browser + OS combinations that are not supported that AEM Authors should be mindful of.
*The WCM Team may be able to assist with the creation of .vtt caption files and reducing file sizes by appropriately compressing videos. If you need assistance, please reach out to us and we will assist you!
*Remember! There is a 2GB file-size limitation. Ensure all video files are under 2GB or you will receive an error when attempting to upload!
Once you have selected the folder the asset will be stored within click the "Create" button in the upper right-hand corner of the screen, and select "Files" from the drop-down menu.
A file explorer window will open. Locate the file you want to upload, and click on it. Then click open at the bottom of the window.
A pop-up window will open, and you can change the name of the file, if needed, before it is uploaded to the platform.
