Scheduling the Publish/Unpublish of Pages & Assets
There may be times when users may wish to delay publishing their page or asset until a specified date/time to remain in accordance with government laws or regulations. In addition, we may want to have content removed from the website at times when it may not be realistic or feasible. The Manage Publication process will allow users to schedule a page or asset to be published or unpublished.
The Scheduling Process
When first landing on the Manage Publication page, by default the action is "Publish," even though the option isn't displayed. To schedule a date and time for Unpublishing, then select the option "Unpublish".
By default, the Scheduling field is set to "Now," which most agencies want the content published or unpublished in that moment. In this case, select "Later," and then the complete the Activation field with the desired date and time in the future.
Click the blue "Next" button twice to get to the Workflow screen. Simply enter a title here and click the blue "Publish Later" or "Unpublish Later" button (depending on your prior selection) at the top right.
This will create a workflow that will run the necessary steps when the date and time are met, effectively pushing your content live or taking it down from the website.
Due to this method of publishing, a version is not created as it is when using the SOI Request for Activation workflow.
The Scheduling process allows the user to schedule a page/asset to be published and schedule the same page/asset to be unpublished at a different specified time simultaneously.
When opening the scheduled page in Author for editing, there will now be a blue banner at the top indicating the page is waiting on the workflow "Scheduled Page/Asset Activation," showing the user there is a pending workflow scheduled.
Dynamic Components
Any component that has dynamic functionality will be affected by the Publish and Unpublish process of a given page or asset; which includes Content Fragments as well. The pages that these dynamic components reside on do not need re-Published, as the references are dynamic in nature and populate automatically based on the source.
Some of our most popularly-used dynamic components include:
- Content Fragment
- Content Fragment List
- Data Table [Assets]
- Data Table [Content Fragments]
- Data Table [CSV]
- Dynamic Media
- Dynamic Related List
- Event Feed
- List v2
- News Feed
For example, the List v2 will not display an Unpublished Page on the Live website, but once the page becomes Published, it will automatically enter the list on the Live web page with no additional user actions.
Create a Version
Since the process of scheduling pages or assets for a publish or unpublish event is through the Manage Publication process and not the SOI Request for Activation workflow, no version gets created when the page is published.
Users will need to manually create a version of the page or asset. See additional information regarding versions below.
